Introduction to SmarterMail

SmarterMail in a is the email server software that Nathanael LLC uses to run and manage your business email. It handles everything from sending and receiving messages to calendars, contacts, and webmail, so you can access your email on your phone, computer, or in a web browser. It’s cost effective and has essential features that email requires. This is the front login page. (minus the demo acc) Other than main created user account theres a postmaster account, basically an admin account to each assignment domain that can create edit and administer user accounts.

Moving, Renaming, and Creating Folders.

A folder consists of mails you can move into. Upon clicking the new folder, a folder creation will pop up, you can give a name to label the folder. To rename a folder, simply select the folder and click on Edit Folder.

Calendar Customization

There's also a calendar features implemented in the mail, allowing users to setup a meeting or event via mail with notifications and notes. To access, click on Calendar on the top left corner of the webmail page. The Calendar page will be shown like this. Click anywhere on the date, a window will pop up for setting up events. Click on save, the event will be shown on your calendar.

Creating Contacts

Contacts can be used to quickly identify saved mails for quick use. Ex; write new mails, chat, etc. - To access, click on Contacts on the top left corner of the mail page. - Click New to create new contacts, a window will pop out. - Click Save once the details are filled, it will show up in the Contacts.

Setting Up Tasks

Tasks feature is a built-in to-do list that helps you manage and track things you need to complete. You can create tasks with titles, descriptions, due dates, priorities, reminders, and update their status or percentage of completion. - Click on Tasks on the left corner of the mail page. - Click on New to create Tasks, a window will pop out for you to fill in the details. - Click on Save, your Task should show up in the Tasks page.

Notes is a simple feature for storing quick information like reminders, reference details, drafts, or important text you want to keep. Think of it as a built-in digital notepad inside your mail system. - Click on Notes on the top left of the mail page. - Click on New to create a Note, fill in the details. - Click on Save, the note should be shown in the Notes page.

News Feed

News Feed is a feature which shows system messages and announcements, such as server updates, maintenance notices, or important information shared by the email administrator. - Click on News Feeds on the top bar mail menu to access news feeds.

File Storage

File Storage is like a built in cloud drive inside your mail system. It lets you upload, store, and organize files in folders so you can access them from anywhere you log in. - Click on File Storage on the top bar menu to access. - To upload a file, click on upload and select your file. - Uploaded file should be shown in the main page.

Checking Mail Reports

Reports are used to monitor and analyze server activity. They provide statistics about disk usage, inbound spam, inbound messages, outbound messages, viruses caught. - Click Reports on the top bar of the mail page to see Reports.

Setting up Autoresponder

Autoresponder lets you automatically reply to incoming emails with a preset message. It’s commonly used for out of office replies, vacation notices, or informing senders that you’re unavailable. 1. Calendar Settings

In Calendar Settings, you can customize options like displaying weekends, showing task start and due times, setting default event duration and reminders, and choosing the first day of the week. 1. Click on Settings on the top bar to navigate through. 2. Select Calendar on the left hand side of the bar. You can also define Business Hours for each day, which helps visually separate working hours from non-working hours in the calendar view. 3. Port Settings : POP, IMAP, and SMTP Settings

If you're trying to add your mail account to another mail platform such as (Mozilla Thunderbird, Outlook, Sparks, etc) you might need the POP, IMAP, or SMTP settings. Content Filtering

Content Filtering is a feature that automatically checks email messages for specific words, phrases, or patterns and then applies rules, such as blocking the email, moving it to a folder, or flagging it. 1. Click on Settings on the top bar to navigate through. 2. Select Connectivity on the left hand side of the bar. 3. Click on New to setup the options, conditions, and actions. Name your content filtering rules. 4. On the conditions tab, you can set the conditions of which messages is going to be filtered. 5. On the actions tab, select which action is going to be taken when the messages is filtered.

Events Settings

Events are automated triggers that perform actions when something specific happens on the mail server. 1. Click on Settings on the top bar to navigate through. 2. Select Events on the left hand side of the bar. 3. Click on New to create events. 4. Customize your event options, conditions, and actions. Name your event. 5. Set your event conditions on the conditions tab. 6. Select actions when the conditions are met in the actions tab.

Scheduling Settings

Scheduling allows you to create a public appointment booking page so other people can schedule meetings with you based on your availability. 1. Click on Settings on the top bar to navigate through. 2. Select Scheduling on the left hand side of the bar. Select the Calendar to use for appointments • Set Minutes between appointments for buffer time. • Set Lead time for new appointments. • Configure your Availability days and working hours. • Click New Appointment Type to create a meeting type. • Set the duration of the appointment. • Configure Custom Fields such as Email Address and Full Name. • Click Save. • Copy the Page URL to share your booking link. • Or copy the Embed Code to place it on a website.

Sharing Settings

Sharing shows what mail, calendar, contact, notes, tasks, deleted items, inbox, junk mails, sent items that we have shared to other users. 1. Click on Settings on the top bar to navigate through. 2. Select Sharing on the left hand side of the bar. 3. You can share with other users in the shared with others tab. Click on New to share folders with users. 4. You can see delegated folders in the delegations tab.

Setting Up Signatures

Signature is the block of text that automatically appears at the bottom of your emails. 1. Click on Settings on the top bar to navigate through. 2. Select Sharing on the left hand side of the bar. 3. Click on New Signature to create a signature. 4. You can select the signature that you created on the mail creation page.

Spam Filtering

SmarterMail also have Spam Filtering, we can enter which domain are trusted and mail, and which one isn’t. The one classified as not trusted can be given an action such as move to junk mail or delete the mail. 1. Click on Settings on the top bar to navigate through. 2. Select Spam Filtering on the left hand side of the bar. 3. Click on Trusted Domains to whitelist every mail from that domain or address. For example : 4. Admin Account Exclusive : Domain Reports , Domain Settings

In the postmaster account (Admin Account) on SmarterMail, there are three additional options available. - Domain Reports Domain Reports shows statistics of the overall activity stats the user in that domain has done. Click on Domain Reports on the top bar to navigate through. - Domain Settings Through Domain Settings, you can administer users from the account page. 1. Select Accounts from the left bar. 2. To create a new user, click on New. 3. Created accounts will be added to the Accounts page. 4. To customize account settings, simply click on the user that you want to customize. 5. In the User Connections, you can drop user connection, resync devices. 6. Select the desired account and click the three dots to see the options. 7. In User Statuses, you can expire user passwords, reindex, and see passwords attempts by the user. 8. In General page, you can customize the following : • Domain Aliases – Add additional domain names that point to the same domain. • User/Alias Settings – Configure two-factor authentication, profile editing, address list visibility, and spam filter permissions. • Calendar Auto-Clean – Set automatic deletion rules for old calendar items. • Folder Auto-Clean – Configure automatic cleanup rules for email folders. • Email Signing (DKIM) – Enable DKIM to improve email authentication and deliverability. • External Senders – Manage policies related to external email senders. • Block Authentication by Country – Restrict login attempts from selected countries. • Attachments – Configure inbound and outbound attachment extension blacklists.
